Job Description

This role will manage the payroll activities of the United States (four legal entities) and Canada (one legal entity) regarding payroll preparation, payroll processing, tax reporting, and payroll administration. Develop and control all tasks necessary to accomplish the payroll processing objectives; and build relationships with internal and external auditors and state and federal agencies.

Key Activities 

  • Partner with payroll vendor to manage and process bi-weekly payroll related activities for GfK US multi-state jurisdictions and Canadian payrolls.
  • Accurately report employee earnings, including bonuses, commissions, Sales Incentive Plans, 401k deferrals and401k loan deductions.
  • Prepare all payroll related information (detailed earnings, voluntary and statutory deductions etc.)
  • Ensure the journal entries for bi-weekly payroll and project related activity are recorded in the general ledger on a timely basis.
  • Manage, review and approve annual W-2 and T4 tax preparation, production and distribution.
  • Partner with Benefits on all benefits related activities involving payroll.
  • Audit accruals for vacation, sick, personal and FMLA sick banks; calculate vacation pay out upon termination.
  • Oversee accurate collection of reporting payroll taxes by the payroll vendor to federal, state and local agencies.
  • Ensure that all court ordered garnishments are properly administered and remitted within the terms of the court order.
  • Research and interface with employees, managers and the Finance Department to resolve payroll issues.
  • Participate in EEOC, DOL and Worker’s Compensation Audits.
  • Ensure the integrity and confidentiality of payroll related data, records and transactions.
  • Research and respond to any Federal, State or Canadian tax notices; apply/close tax accounts as needed.
  • Participate in the Year End payroll and finance activities.
  • Provide support to the Americas HR Services team.
  • Generate weekly/monthly/adhoc reports for senior leadership.
  • Supports projects to implement digital solutions as well as to centralize, streamline and expand HR Services scope throughout the Region

Competencies required

  • Thorough knowledge of US payroll legislations regulating employee benefits and retirement plans.
  • Thorough understanding of Human Resources policies and best business practices related to payroll administration.
  • Proven experience of federal, state, local tax payments and governmental returns with an understanding of multi–state payroll tax laws.
  • Experience reconciling general ledger accounts.
  • Experience with garnishment procedures, workers compensation and leave policies.
  • Strong computer skills, including, but not limited to Microsoft Office software
  • Knowledge or prior use of Workday and Alight Payroll System. 
  • Able to handle confidential and sensitive HR related information.
  • Strong time management skills and personal efficiency.
  • Strong communication and customer service skills.
  • Problem-solving and auditing skills.
  • Ability to work independently.
  • Possess a sound sense of ownership and accountability.

Typical Education and Work Experience required

  • Undergraduate degree or equivalent combination of education and experience
  • Minimum 3 years of relevant HR and payroll administration experience or equivalent
  • Advanced certifications and/or training preferred.
